Reception and Manufacturing Supply Chain Support role
The Reception and Manufacturing Supply Chain Support role will involve being responsible for
supporting a broad range of duties within the administration department. You will report on a
daily basis to the Administrative Production Manager and be involved in all aspects of
administrative production on a permanent basis.
Job Overview:
The Reception and Manufacturing Supply Chain Support is a role within the Containment Service
Providers organisation located in CSP’s HQ in Carrigtwohill, Co. Cork. However, your location of
your employment may change from time to time and you may be required to attend at any location
linked to the organisation, in keeping with the demands of your job and/or the changing needs of the
business. You will be given as much notice as possible where the company asks you to travel to or
work at another site. As has been seen in recent times, there may be requirements to work remotely
from time to time at any time. The role requires the individual to work as part of the CSP
administrative team. The following is not an exhaustive list of duties and responsibilities. You may be
required to carry out additional duties in line with your role and the organisation would expect you to be flexible in this regard.
The Objective of the Reception and Manufacturing Supply Chain Support:
• Manage documentation for domestic and international deliveries.
• Communicate effectively with clients and to relay messages between clients and CSP
personnel.
• Cover fellow employees when some of the teams are out of the office or absent.
• To communicate with production and store managers with regard to the stock of materials for
the GBS and to order on their request.
• Liaise with Quality department and production with regard to new materials and products in
terms of pricing and suppliers.
• Be clerical support for Production which may include: Typing, Printing, taking minutes,
Receiving/Making Phone calls/ Emails Sourcing and sorting of C. Vs, Updating various
forms and templates.
Daily and Monthly Responsibilities:
• Greeting all visitors and make sure that all appropriate forms and or tasks are filled in and
informing relevant CSP personnel about visitors’ arrival.
• Answering calls and transferring to required person and relaying messages when necessary
• Managing and tracking of purchase orders to suppliers from order to delivery.
• Liaising with Quality management on product quality, certification and validation issues.
• Liaising with finance and administration regards payment.
• Using Sage and Microsoft excel to store Manufacturing purchase order information in correct
folders through issuing and scanning all related documents.
• Communicating and organizing with all forwarders & Delivery drivers to arrange delivery of
all Manufacturing goods.
• Checking if delivery docket matches purchase orders for manufacturing stock/supplies and
contacting supplier if any discrepancies occur.
• Preparation and printing of labels for Manufacturing e.g. bottle bags.
• Preparation of certificates of conformance and internal delivery dockets for manufacturing
• Generation purchase orders to suppliers for all manufacturing.
• Updating and monitoring all relevant manufacturing reports/spread sheets when applicable
• File hardware inspection sheets into the correct folder and then update the hardware
inspection report on excel.
• Collect the weekly cleaning sheets and upload them onto server.
• Upload the defect tracker log and save into relevant folder. Upload the GBS lean
manufacturing sheets the defect tracker log and save into relevant folder. Log Defects on
excel defect tracker. Log lost time on defect tracker.
• Review and upload weekly maintenance check sheets onto server and save in correct folder,
highlight any concerns deviations to production and quality management.
• Review and upload operator competency sheets onto server and save in correct folder,
highlight any concerns deviations to production and quality management.
• Review and upload van maintenance check sheets onto server and save in correct folder,
highlight any concerns deviations to production and quality management.
• Replenish and update all Covid-19 forms for Carrigtwohill.
• Print and replace attendance sheets by front door and both GBS floors.
• File and upload Design & Manufacture of new product check sheet when supplied.
• Review and upload glove inspection sheets onto server and save in correct folder, highlight
any concerns deviations to production and quality management.
